How do I log and close a quality non-conformance (NCR)?

A quality non-conformance (NCR) has a full investigate-and-fix lifecycle for real defects, plus a shortcut for closing one out immediately when it turns out not to be a defect at all.

Raise the NCR

1. Click “+ New NCR” and enter a Title and Description.
2. Choose a Root cause category (Material, Workmanship, Design, Process, or Other) — this is required even at this stage. A Root cause detail can be added now or left for later.
3. Click “Raise NCR.” It starts in open status.

Investigate and fix it

1. Click “Start investigation” to move it into under investigation.
2. Click “Plan corrective action” once you know what needs to happen.
3. Fill in “Record corrective action” — disposition (rework, repair, use as-is, scrap, or return to supplier), cost impact, verification criteria, who's responsible, and a due date, then submit it. This moves the NCR to corrective action taken.

Verify and close

Someone other than whoever recorded the corrective action clicks “Verify.” This is enforced, not just a convention — if you recorded the corrective action yourself, the button is disabled with a note that someone else has to verify it. See four-eyes verification. Once verified, click “Close.”

Closing a false positive

If an NCR turns out not to be a real defect, you don't have to run it through the whole investigation lifecycle to get it off the open list — a separate “Close (false positive)” button is available directly from open status, skipping straight to closed.

Who can do this

Owner, Admin, Project Manager, and Field Supervisor can raise, investigate, and progress an NCR — Field Supervisor is included here since defects are usually found on site.
